Using the Project/Task to Job/Item Structural Relationship to Transfer Data

TimeSheet does not keep track of rows that have been removed; therefore, there is not way to cor-
relate these changes with QuickBooks.
Time entries in Web TimeSheet with negative number values will not be transferred, as Quick-
Books does not allow employees to input negative hours.
Transferring Time Entry Information
To transfer time entries from Web TimeSheet to QuickBooks:
1. Select the General tab and select the direction of data transfer, Web TimeSheet > QuickBooks.
2. Enable the Time Entries check box.
3. Select Web TimeSheet Project/Task --> QuickBooks Job/Item from the Structural Relationship
drop down menu.
4. If you have made changes in either QuickBooks or Web TimeSheet since launching the Integration
Manager, click the Reset button to ensure the data being transferred is the most current.
5. Choose the timesheet period and approval status for the information, and whether to transfer all
records, or only those that have not been previously transferred.
6. Select either the Based on Project/Task or Based on User option to choose how you would like
to filter the data.
7. Select the desired filter criteria for the information and click Apply Filters.
8. The filtered information that is available for transfer will be displayed in the Time From Web
TimeSheet list box, depending on the options selected previously.
9. Select the information you wish to transfer to QuickBooks and select the >> button to move it to the
To QuickBooks Time list box.
10. Select the Field Mapping tab and create the field mappings you wish to use. Ensure that the follow-
ing fields are mapped, at a minimum:
Map a user defined field from Web TimeSheet to thePayroll Items (Time Entries) field in
QuickBooks, only if you are using the data to create paychecks.
Map theProject Name or Project Code field in Web TimeSheet to the Job Name field in
QuickBooks.
Map theTask Name or Task Code field in Web TimeSheet to the Item Name/Number
field in QuickBooks.
11. Select the Transfer button.

Transferring Time Off Entry Information
To transfer time off entries from Web TimeSheet to QuickBooks:
1. Select the General tab and select the direction of data transfer, Web TimeSheet > QuickBooks.
2. Enable the Time Entries check box.
3. Select Web TimeSheet Project/Task --> QuickBooks Job/Item from the Structural Relationship
drop down menu.
4. If you have made changes in either QuickBooks or Web TimeSheet since launching the Integration
Manager, click the Reset button to ensure the data being transferred is the most current.
5. Choose the timesheet period and approval status for the information, and whether to transfer all
records, or only those that have not been previously transferred.
