2. Enable the Expense Entries check box.
3. If you have made changes in either QuickBooks or Web TimeSheet since launching the Integration
Manager, click the Reset button to ensure the data being transferred is the most current.
4. Select the criteria to use to filter the expense entry information and click Apply Filters.
5. The filtered users for whom expense entries are available for transfer will be displayed in the Ex-
pense from Web TimeSheet Users list box.
6. Select the user you wish to transfer expense entries for and select the >> button to move them to
the To QuickBooks Vendor Bills list box.
7. Enable the Transfer reimbursable expense only option if you wish to only transfer reimbursable
expenses.
8. Select the Field Mapping tab.
9. Select a Vendor Bill Date as either todays date or the expense sheet date, or select a date.
10. Edit the Vendor Identifiers formulas as needed. For more information on formulas, see
Using the Vendor Identifiers Formula on page 116.
11. Open the A/P Account drop down menu, and double click to select an account. If you are using a
version of QuickBooks that supports multiple currencies, and are working in a multiple currency file,
you must first map the currencies for each Accounts Payable account:
a. Select the currency of the Web TimeSheet expense entries that you wish to transfer from
the Web TimeSheet Currency drop-down list box.
b. Select the currency in QuickBooks that you wish to map to from the QuickBooks Currency
drop-down list box. The Accounts Payable drop-down list will be updated with the available
accounts that use that currency.
c. Select the account for which the currency needs to be mapped from the Accounts Payable
drop-down list.
d. Select Add.
12. Create the field mappings you wish to use. Ensure that the following fields are mapped, at a mini-
mum:
Map theExpense Type or UDF from Web TimeSheet to the Account/Item field in Quick-
Books.
13. Select the Transfer button.

Transferring Time and Expense Data to QuickBooks as Client Invoices
You can transfer Web TimeSheet time and expense entry data to QuickBooks as client invoices.
Prerequisites
Before transferring time and expense data to client invoices, ensure the following steps have been taken:
A Web TimeSheet project must be set up with rates to transfer time to client invoices.
Ensure that the value mapped to the Item field (Project Name, Project Code, Task Name, Task
Code or Role Name) is present in QuickBooks as an Item. The transfer will only be successful if
an Item with the same name already exists in QuickBooks. See Ensuring Items Present in Quick-
Books Prior to Transfer for more information.
