If you have transferring time off entries, create a new payroll item in QuickBooks, using the infor-
mation from the Time Off Code field for Time Off Entries in Web TimeSheet. See Creating a New
Payroll Item in QuickBooks for Time Off Entry Information for more information.
If you want to map to the Class field, you must ensure that you have assigned one class per earn-
ings item, so that the class field will be represented on user timesheets. See Changing QuickBooks
Preferences for Class Settings for more information.
Creating a New Payroll Item in QuickBooks for Time Entry Information
1. Within QuickBooks, click on Employees from the main menu, and choose Payroll Item List.
2. Click Payroll Item and choose New.
3. On the Add new payroll item window, follow the steps to create the payroll item, and use the same
value as the UDF you will be mapping from.
Creating a New Payroll Item in QuickBooks for Time Off Entry Information
1. Within QuickBooks, click on Employees from the main menu, and choose Payroll Item List.
2. Click Payroll Item and choose New.
3. In the Add new payroll item window, follow the steps to create the payroll item, using the Name of
the Time Off Code in Web TimeSheet.
Ensuring Time Data is Available in QuickBooks to Create Paychecks
1. Within QuickBooks, click on Employees from the main menu, and choose Employee List.
2. Select the employees name.
3. Choose Edit from the Employee menu button.
4. Depending on your version of QuickBooks, either choose Payroll and Compensation Info from the
Change tabs drop down menu or select the Payroll Info tab.
5. Select the Use time data to create paychecks checkbox.
6. Click OK.
Changing QuickBooks Preferences for Class Settings
1. Within QuickBooks, click on Edit from the main menu, and choose Preferences.
2. Select the Company Preferences tab, and select Payroll and Employees from the side menu.
3. Choose the option to assign one class per Earnings item.
4. Click OK.
Important Considerations
For time off entries, theTime Off Code is mapped to the Payroll Items field by default and cannot
be edited. However, a Web TimeSheet field must be manually mapped to the Payroll Item field for
time entries. With these mappings, for each time off entry that is transferred, the Payroll Item field
will be filled with the Time Off Code. The mappings will also ensure, for each time entry that is
transferred, the Payroll Item field will be filled with the field mapped to Payroll Items (Time
Entries).
Time off entries are only transferred for employees, not for vendors, as vendors are paid through
the billing process rather than through payroll.
If you remove a timesheet row from a project in Web TimeSheet after that project has been trans-
ferred to QuickBooks, and then attempt to transfer time for that project with a date range that
includes the deleted row, the row will not be deleted in QuickBooks. This is because Web
